Time Tracking and Billing
At Serge Creator Studios, we are committed to maintaining transparency in time tracking and billing. This ensures clients understand how work hours are allocated and invoiced while supporting accountability and accuracy across all projects. Below are the details of our time tracking and billing practices:
1. Tracking System
All work hours are tracked using a dedicated system, ensuring every minute spent on tasks is recorded. Each time log includes timestamps and descriptions of the work performed, providing complete visibility into how time is utilized.
2. Task Distribution
Time is distributed across tasks based on their specific requirements. This includes but is not limited to research, design, revisions, communication, project management, quality assurance, delivery, etc. Each step is documented to ensure a comprehensive record of the work completed.
3. Billing Methodology
All core services are provided on an hourly billing basis. Time logs are reviewed carefully to reflect the exact hours worked, ensuring transparency and accuracy in invoicing. Clients are billed only for productive hours associated with their projects.
4. Quality and Accuracy Checks
Tracked time undergoes regular reviews to confirm it aligns with the scope of work and matches the recorded activities. Quality assurance tasks, such as reviewing and verifying deliverables, may also be included in the tracked time. Any discrepancies or concerns are resolved internally before invoices are finalized.
5. Client Communication
Clients are notified in advance if additional time is required beyond the initial estimate. Work will only proceed with explicit approval to ensure no unexpected billing adjustments. Proactive communication ensures alignment between our team and our clients.
6. Timelines and Efficiency
While all efforts are made to complete tasks efficiently, it is essential to note that some processes, such as gathering resources, understanding project requirements, making precise adjustments, exporting deliverables, and uploading files, may require additional time. These steps are integral to delivering high-quality results.

Policy on Work Process Recordings
To ensure the privacy, security, and intellectual property of our team’s work, Serge Creator Studios maintains the following policy regarding work process recordings:
Internal Use Only Any recordings or monitoring of the team’s work process, including videos like Loom recordings, are conducted solely for internal purposes. These recordings evaluate and analyze workflows, improve processes, and resolve internal issues.
No Customer Access Recordings of our team’s work will not be shared with customers under any circumstances. These materials may include proprietary tools, trade secrets, copyrighted content, and other sensitive information that is the intellectual property of Serge Creator Studios.
Creator and Team Protection This policy is in place to protect the privacy of our team members and the integrity of our creative process. Sharing such content externally may compromise the quality of work and expose confidential methodologies or technologies.
Transparency in Communication While recordings are not shared, we strive to maintain transparency by providing detailed updates, reports, and deliverables to keep customers informed about progress and ensure satisfaction with the results.
Management
Our agency offers management services that focus on managing various aspects of your project, such as production, post-production, development, social media, and other teams. We provide effective communication, organization, and coordination to ensure the project is completed on time and to your satisfaction. Our experienced team of managers will work closely with you to understand your needs and provide the necessary direction and guidance to the project team. Please note that unforeseen circumstances, such as technical issues, natural disasters, miscommunication, or other events beyond our control, may cause delays in production or delivery. In such cases, we will do our best to keep the client informed and work to minimize the impact on the project timeline.
Project Management
Whether it is production crew or client communication, our social media managers will handle organizational tasks related to our service. We understand that effective project management is crucial for the success of any project, and we will work diligently to keep the project on track and on time.
Production Session Coordination
Our agency offers session coordination services, including booking a cameraman, providing creative guidance, and assisting with distribution. Additionally, we can help with travel arrangements such as flight tickets and accommodations. We understand that session coordination can be complex, and we will work closely with you to ensure that every aspect of the session is organized and executed seamlessly.
Brand Consulting Calls
Our agency offers brand consulting calls to guide and support your brand. These calls will be hosted via Zoom by one of our team members. We will work with you to schedule the calls at a convenient time for both you and our team.
Administration
Our agency offers administration services to assist with various administrative tasks related to our services. This may include organizing files, scheduling appointments, managing emails, and other related tasks.
Social Media Management
Account Customization Across Social Media Platforms
Profile Picture, Description, Highlight Icons, Cover Photos, Username, Links etc.
Social Media Platforms Registration
Our team can register social media channels and deliver all the access and ownership for all accounts.
Assets
Caption, Hashtags, Spellchecks, Content Planning, Scheduling, Content Final Assets and files Review, Researching/Incorporating Trends, Tagging Partners and Relative People, Geo-tagging etc.
Distribution / Posted Projects
Posting to various social media platforms, Posted Project quantity per brand will be listed in the SOW and delivered according to the cycle.
Within two business days following receipt of any deliverables, the Client will provide the Agency with either (a) Written approval and acceptance of such deliverable or (b) a written list of reasonable modification guidelines that will bring the deliverables into compliance with the SOW. Each deliverable hereunder will be deemed accepted by the Client if, within 48 hours of its delivery to the Client, the Client does not provide the previous written notice.

We offer Social Media Content Preparation services to ensure your digital assets are optimized for each social media platform. Our team of experts will work with you to understand your unique needs and requirements and produce custom digital assets that meet the appropriate social media parameters for each platform selected, including format, size, length, style, and more. We offer Photo and Video Editing services to transform your raw footage into high-quality photos and videos. While, on average, one hour of production will require at least three hours of post-production time, each project may vary and sometimes requires significantly more time for post-production. Our Post-Production Services also include using Stock Music, Photos, Videos and graphic Assets, Audio Effects, and more to enhance your digital assets. We produce a variety of digital assets, including Highlight Videos, Short Clips, Talking Head Videos, Training Videos, Tutorial Videos, TikTok & Reels Videos, and more. Our team of experts is committed to delivering high-quality Post-Production Services that meet your expectations and requirements.
Post-Production: Graphic Design
We provide a range of Post-Production Services that may include, but are not limited to, the production of digital assets such as Brand Design Kits, Branded Elements, Carousels, Podcasts, Social Media and other Graphics, Thumbnails, Creative Ads, Subtitles, Testimonials, Social Media Web and Other Graphic Design, Twitter Quotes, Visual Effects, Graphic Design, Logo Design, Cartoons Illustrations, Presentations, and other related Post-Production Services. Our team of experts will work closely with you to understand your vision and objectives and will create custom digital assets that effectively communicate your message and brand.
Paid Ads Management
We provide Paid Ads Management Services that may include but are not limited to, Ads management on various platforms such as Facebook, YouTube, TikTok, and other related platforms (collectively, the "Platforms"). Our Paid Ads Management Services are designed to help you achieve your marketing and advertising goals by creating and implementing effective and engaging ad campaigns on the Platforms. Our team of experts will work closely with you to understand your target audience, messaging, and budget and develop custom ad campaigns that meet your specific needs and requirements. We will regularly monitor and optimize your ad campaigns to ensure maximum effectiveness and ROI. Please note that additional fees and expenses may apply to Paid Ads Management Services, and we will provide you with a detailed scope of work and pricing schedule before we begin any work on your project.
Development
The Agency offers various development services, including but not limited to website design, UX/UI design, Swift development, and other related services (collectively, the "Services"). The Services will be performed in a professional and workmanlike manner, using commercially reasonable efforts to ensure that the Services meet the Client's specifications and requirements. The Agency will provide the necessary resources, personnel, and expertise to perform the Services in accordance with the terms of this Agreement.
Third-Party Products and Services: We understand that some of our Services may require third-party tools, software, or other products. While we strive to use reliable and reputable products and services, we want to clarify that we make no warranties or representations regarding the quality, performance, or suitability of any third-party products or services. However, we're here to help you make the right choices for your project. If any third-party products or services are required for our Services, you'll be responsible for procuring any necessary licenses, permissions, or approvals. But don't worry; we'll work closely with you to ensure that you have all the information and support you need to make informed decisions and ensure the success of your project.

Travel Expenses
Our production team may require travel expenses to and from the session destination, such as airfare, lodging, and transportation. If travel expenses are required, we will provide you with an invoice for payment. Determining when these charges will apply is at the discretion of the agency or vendors, and we will always strive to minimize travel expenses and keep them within reasonable limits. Please note that the following list includes various travel expenses that may be applied but is not limited to:
Commuting Miles Personal Vehicle (Incl. Gas) $0.60+ /mile
The production crew uses their vehicle and gas, with the associated fee intended to cover depreciation and incurred expenses. For example, Vendors may request to cover commuting miles expenses, which includes 30 miles free of charge. If the travel distance exceeds 30 miles, all miles beyond the initial 30 miles will be charged. For example, if the camera crew drives 60 miles round trip, the total cost will be $30. This is only an example; each vendor may request different terms to cover their travel expenses.
Parking Tickets/Metered Parking
The production team will park at a safe location close to the destination. They may incur charges for parking in metered spots, parking structures, or parking lots based on location and available parking. The production team is responsible for driving and parking violations unless the client was the reason for such violations. It is the production team's responsibility to monitor their parking. However, the client must allow them the time necessary to do so. For example, if the client does not allow the production team a reasonable amount of time to renew metered parking, the client must pay for any tickets incurred by such an event.
Flights
The client or agency may book flights required to reach shoot destinations at the client's expense. Arrangements must be timely to allow appropriate logistics management. The production team is responsible for boarding flights on time and will be responsible for accrued airport charges due to missed flights.
Tolls
Tolls will be avoided when possible. If the production team must use a Toll to reach the destination in an acceptable time, the client will be responsible for these charges.
Hotels/Airbnb
The client or agency may book hotels near shoot destinations. Accommodations shall be of adequate comfort, allowing for reasonable rest, preparation, and safety for the production team, their equipment, and their personal belongings.
Uber/Lyft/Taxi/etc
The client is responsible for all transportation expenses related to production sessions, including taxi and ride-share apps such as Uber & Lyft.
Car Rentals
If renting a car is more cost-effective or necessary, the production crew may use car rental services at the client's expense.
Logistics Best Practices
Flights must land 6-12 hours before the production session to avoid risks of rescheduling and underperformance of the production team due to exhaustion. If the production team is too exhausted to return safely from a session, accommodation must be provided for a reasonable amount of time to be well-rested. Travel time is usually not exact, and unexpected delays may occur.
Travel Expense Pool
The agency can organize a travel expense pool to reduce client travel expenses if multiple clients utilize the same production team at a given destination.
Travel Time
Vendors may request travel time coverage. For example, when the production crew spends more than 60 minutes on travel time, they can submit travel expenses. The standard rate is 15/hour. The rate may vary based on the market.
Currier Delivery
Additional fees might apply if the camera crew is required to pick up or deliver the production equipment necessary for the production project. Based on market rates may vary. Estimate costs and/or invoice will be submitted to the Client and has to be covered in full.
Hard Drive Costs and Shipment Expenses
Whenever the camera crew needs to purchase an external hard drive and can't be able to upload RAW footage through cloud services using the internet, the drive has to be shipped with these related shipment expenses and actual physical Hard Drive (HDD) costs. The client should cover expenses.
Additional Accounting & Service Fee for Third Party Vendors
Serge Creator Studios may facilitate payment processing for transactions between customers and third-party vendors, acting as a marketplace intermediary in such cases. Our role is to streamline and manage these transactions, ensuring proper documentation, compliance, and accountability. While we assist in processing payments, all transactions remain subject to the terms outlined below, and Serge Creator Studios is not responsible for the performance, delivery, or quality of services provided by third-party vendors.
A minimum charge of $10, or 10% of the total vendor’s budget, whichever is greater, will apply. An External Payments Accounting Management Fee will be assessed to ensure seamless management and accurate accounting of external transactions, with careful oversight and processing. A service fee may also apply for coordinating transactions involving the client, cameraman, production crew, other related expenses, software, and other third-party services.
We can process up to $5,000 per month (unless agreed upon under different terms) for credit card transactions with a 4% merchant processing fee for third-party vendors. If the payment exceeds this limit, we offer the option to split the transaction: the first via credit card and the second via ACH transfer.
Please note:
All transactions are final, with no refunds or chargebacks.
Late payments will incur a 1% penalty per day.
In default, the client assumes personal responsibility for the outstanding amount and agrees to settle the balance within a 5-day grace period.
By proceeding with the payment, the client acknowledges and agrees to the Third-Party Vendor Terms and assumes full responsibility for reviewing and understanding these terms. The client further recognizes that all third-party transactions are subject to the applicable policies, fees, and conditions outlined herein and agrees to comply with them accordingly.
